Agile Cards scanner - how to sync physical and digital agile boards

Enjoy the benefits of your physical agile board and sync with your digital one in seconds

To keep all stakeholders up-to-date and to increase the team's level of collaboration, some agile teams use both physical and digital boards for planning and tracking tasks. The ways they are using boards differ, but all teams share the same problem. It takes time to synchronise the physical board status with the digital task tracker like Jira or TFS / VSTS. The Agile Cards scanner can save time by scanning and synchronising your physical board status with your team's digital board. With our KR codes, a single photo and a few clicks.

In this post we will show you (in pictures) how to use the Agile Cards scanner.

What is Agile Cards scanner?

Agile Cards allow you to create and maintain your physical Kanban or Scrum boards with tasks printed from Jira or VSTS/TFS using customizable printing templates. Agile Cards scanner allows you to easily synchronise the physical boards with your digital boards in Jira or VSTS/TFS.

Before you can use the scanner, make sure to prepare the physical board first:

Using Agile Cards scanner on desktop computers

  1. Open Agile Cards scanner dialog

Depending on whether you are using Jira of VSTS/TFS the access to this dialog will look slightly different.

  2. Select a photo for scanning

Make sure to have the photo somewhere on the HDD of the desktop machine you use to access your digital boards from.

The higher resolution of the photo the better.

  3. Wait for the scanner to complete

Depending on the resolution of your photo, the quality of image and the amount of cards and columns this process may take between 1 and 10 seconds to finish.

  4. Check scanning summary

Upon completion the scanner will display a summary of identified cards.

Labels in green indicate cards with the same status on both physical and digital boards. Labels in yellow indicate changes.

  5. Synchronise!

Press the UPDATE BOARD button and wait for the cards to be synchronised between physical and digital boards.

Using Agile Cards scanner on mobile devices

  1. Scan the board's QR code

To make things easier Agile Cards allows you to create a QR code shortcut to scanner screens.

Use your mobile device's QR code reader to open the URL of Agile Cards scanner for the selected board.

  2. Open mobile version of scanner

The QR code will take you directly to the mobile version of Agile Cards scanner.

  3. Take the photo

Make sure to get as close to the board as possible. Try avoiding perspective skew. Good lighting conditions will help, too.

  4. Check scanning summary

Upon completion the scanner will display a summary of identified cards.

Labels in green indicate cards whose status does not differ between physical and digital boards. Labels in yellow indicate changes.

  5. Synchronise!

Tap on the UPDATE BOARD button and wait for the cards to be synchronised between physical and digital boards.

Is it secure to use the Agile Cards scanner?

The processing and recognition of the photo and the cards happen entirely on the client side - usually a mobile phone. No part of the photo is sent outside of the device you have used to access Agile Cards.
